Equipment Essentials to Run a Business

Equipment Essentials to Run a Business

Running a successful business requires the right tools and equipment to ensure efficiency, productivity, and smooth operations. While the specifics can vary depending on the industry, there are some universal essentials that every business can benefit from. Here's a look at some key equipment and tools that can help streamline your business processes and make your life much easier.

Say Goodbye to the Landline

In today’s digital age, the traditional landline is becoming obsolete. With technology advancing, businesses no longer need to rely on a physical landline number. Instead, consider the following alternatives:

- WhatsApp for Business: Whatsapp for Business allows you to create a business profile with a separate contact number, so you don’t have to share your personal mobile number. WhatsApp for Business is perfect for customer interaction, offering features like automated messages to ensure your clients are kept in the loop. You can go a step up and look at platforms like ClientWindow so that the messages can go to the right place and don’t just stay with you.

- Virtual Landlines: Did you know that you can invest in a virtual landline that can divert calls to your mobile or computer? These services are often more cost-effective and flexible than traditional landlines, allowing you to take calls from anywhere with an internet connection. For a low cost you can have a local landline number, helping to make you more professional.

Laptops and Desktops

A reliable computer is the backbone of any modern business. Whether you prefer a laptop for its portability or a desktop for its power, ensure it meets your business needs in terms of speed, storage, and connectivity. Here are some additional tips:

- Multiple Screens: Using multiple monitors of a decent size can significantly boost productivity. For example, one screen can display your bookkeeping software while another shows client emails. This setup reduces the time spent switching between applications and enhances multitasking efficiency.

- Make sure you have the right tools for your work, as a bookkeeper I have a full keyboard with number pad and an extra number pad so that when doing lots of work I can use both hands.

Cloud Storage and Backup

Cloud storage solutions like Google Drive, Dropbox, or OneDrive are essential for securely storing your business documents. They allow you to access your files from any device, from anywhere you have an internet connection. You can collaborate with team members and clients in real-time, and ensure your data is backed up and safe from hardware failures.

Accounting and Bookkeeping Software

Invest in reliable accounting software like Xero and Apron. These platforms streamline your financial management, from invoicing to expense tracking, and can integrate with other tools you use, enhancing overall efficiency. At LJM Bookkeeping we specialise in streamlining your processes by leveraging software and automation. Get in touch today to find out how we can be of assistance.

Printers and Scanners

Even in a digital world, there’s often a need for physical documents. A good quality printer and scanner can save you trips to a print shop and ensure you can handle any paperwork that comes your way.

If you still have clients dropping off paperwork, a ScanSnap can help you quickly get everything digitised. It’s just a shame it can’t file it in order afterwards.

Office Furniture

Comfort is crucial for productivity. Invest in comfortable chairs and ensure you’re at the right position at your desk, this will prevent discomfort and potential health issues for yourself and your employees. Adjustable chairs and standing desks are excellent options to consider. I’m looking at investing in a standing desk myself!

Mobile Devices

Smartphones and tablets are indispensable in today’s business environment. They enable you to stay connected, manage emails, and access essential apps while on the go. Ensure your mobile devices are up to date and equipped with the necessary apps to support your business operations.

Reliable Internet Connection

A fast and reliable internet connection is non-negotiable. It supports all your online activities, from cloud storage to communication tools, and ensures that your business runs smoothly without interruptions. The als thing you want is your internet connection to drop when you’re taking that important discovery call!

Stream Deck

An essential piece of equipment I use in my business is my StreamDeck. By programming buttons to do repetitive tasks, it saves me so much time! I definitely recommend looking at various ways to automate your business in order to streamline your processes so you can become more productive.
